1. Your Agreement & Service Delivery

Your agreement for the provision of all football coaching services is with CWS United Community Interest Company (CIC). We are responsible for all aspects of service delivery, including ensuring all coaches are FA qualified, hold valid DBS checks, and for all safeguarding matters. SHOT Clubhouse Ltd's role is limited to that of a technology provider and payment collection agent.

2. Subscription & Payments

Your subscription is per child and is billed monthly. Payments cover weekly term-time sessions for an 11-month season, running from September to July (no payment is taken in August). Your subscription renews automatically each month unless cancelled. By signing up, you authorise SHOT Clubhouse Ltd to collect these monthly payments on our behalf.

3. Cancellations

• By You: To cancel your subscription, we require one full calendar month's written notice. For example, to cancel at the end of October, you must provide notice by the last day of September. Payments for past or current months are non-refundable.
• By Us: In the unlikely event of a session being cancelled by us (e.g., due to extreme weather, venue unavailability), we will make every effort to reschedule it. No refunds will be issued if a suitable rescheduled session is provided. We reserve the right to cancel any booking at any time for any reason, in which case any fees for future sessions will be refunded.

4. Player Health, Safety & Conduct

• Medical Information: You must provide accurate and complete medical information for your child upon booking and inform us immediately of any changes. By booking, you consent to us administering first aid or seeking emergency medical treatment if required.
• Liability: CWS United CIC holds public liability insurance. We are not liable for any death, personal injury, or loss of property, except in cases of our proven negligence.
• Player Conduct: We reserve the right to exclude any child from a session if they exhibit behaviour that is deemed disruptive, dangerous, or inappropriate.

5. Photography and Filming

By opting in on the booking form, you consent to your child being photographed or filmed by us for use in our promotional materials, including on websites and social media channels operated by CWS United CIC, JF Collective Ltd, and SHOT Clubhouse Ltd.

This policy outlines how your personal data is collected, used, and protected. For the purposes of local service delivery, CWS United Community Interest Company (CIC) is the primary data controller. Our partners, SHOT Clubhouse Ltd (as a data processor for payments and app services) and JF Collective Ltd (as a data controller for brand oversight), also handle your data as described below.

2. The Data We Collect

We collect necessary data to provide our service safely and effectively, including: Parent/Guardian contact details (name, email, phone); Child's personal details (name, DOB); Child's sensitive data (medical conditions, allergies); Emergency contact details; and details for safeguarding (such as collection arrangements).

3. How & Why We Use Your Data

Your data is used for the following purposes under the lawful basis of contract, legal obligation, and legitimate interests:

• To deliver our coaching services and manage your booking (Contract).
• To process your subscription payments (Contract).
• To communicate essential service updates (e.g., session changes) via email and the SHOT Clubhouse app (Contract/Legitimate Interest).
• To ensure the health, safety, and safeguarding of your child (Legal Obligation).
• To report on overall franchise performance (Legitimate Interest).

4. Data Sharing Between Parties

To provide a seamless service, your personal data is shared between the three key organisations as follows:

• CWS United CIC shares your booking information with SHOT Clubhouse Ltd to create your app account and process payments.
• SHOT Clubhouse Ltd provides CWS United CIC with access to attendance registers, medical, and emergency contact information for coaches to use during sessions.
• CWS United CIC may share anonymised, aggregated attendance and performance data with JF Collective Ltd for the purposes of franchise reporting and quality control.

We have data processing agreements in place to ensure your information is handled securely by all parties. We never sell your data to third parties for marketing purposes.

5. Your Legal Rights

You have rights under data protection law, including the right to access, correct, or request erasure of your personal data. Please contact us to exercise these rights. Note that erasing essential data may prevent us from providing our service.
